Why is Communication so Difficult?

Considering we practice communication everyday with our co-workers, family and friends, is it not somewhat surprising that we still struggle with communication at all levels? Perhaps it is because the skill set is so vast incorporating writing, speaking, listening, promoting and counselling into the mastery of communication skills, making it difficult to achieve excellence in all areas.

When you look at the communication process it helps us better understand why it can be so very difficult to obtain understanding of your message.
• First, the sender must develop a clear understanding of the concept they want to communicate;
• Next, the sender must formulate how they want to communicate the message;
• The message is influenced by the sender’s “filters” such as gender bias, age bias, culture bias, etc.;
• The message transfers through a medium such as verbal, non-verbal, written word, pictures, etc.;
• Barriers influence the transfer of information such as distance, noise, distractions, etc.;
• The message now has to pass through the receiver’s “filters” and be interpreted by the receiver;
• Only if the message is paraphrased back does the sender have any assurance the message was received as intended.

How’s that for complicated!? When you look at how complex the human communication process actually is, it is surprising we get along as well as we do. That is why it is very important to check back for understanding - three-way communication techniques and feedback give us that final check.

So, what are some of the tools we can use to be effective communicators:
• Take the time to analyze when you have been an effective communicator;
• Know your audience - what tools will work best with different groups;
• Don’t make assumptions;
• Make sure you set context;
• Observe others communication techniques;
• Apply KISS (keep it simple stupid) principle - make your message clear and concise;
• Make sure you communicate WITFM (what’s in it for me);
• Use stories and examples to get your message across - make it personal;
• Pick the right medium for your audience; and
• Close the loop - obtain feedback.

Do a check on your own communication effectiveness from time to time. Think about how you might have done a better job of getting your message across. Learn from your mistakes and always be conscious of all the various influencers and barriers to good communication. Being aware of all the elements of good communication can help you become a pro.

The ability to communicate is the primary factor that distinguishes human beings from animals. And it is the ability to communicate well that distinguishes one individual from another. but i think communication is not a simple process. because it is two way process. communication cannot be complete without response from whom we expect. therefor it is so difficult. http://www.businessmantra.net
